Martin Glaser, director (hereinafter referred to as the “administrator”) in connection with the adoption of Regulation (EU) 2016/679 of the European Parliament and of the Council of April 27, 2016, provides below a summary of basic information on the processing and protection of your personal data by the company.

  • When processing personal data, the administrator proceeds in accordance with the following legal regulations
  • Personal Data Protection Act No. 101/2000 Coll.
  • Regulation (EU) 2016/679 of the European Parliament and of the Council
  • Act No. 563/1991 Coll., on accounting, as amended, Act No. 89/2012 Coll., Civil Code, Act No. 634/1992 Coll., on consumer protection, or in accordance with other legal regulations

and ensures that there is no violation of data processing principles according to Article 5 of the GDPR.

What data does it relate to?

The personal data of the participant of the European Dance Competition Brno (hereinafter referred to as the “competition”), which is processed by the administrator, includes the basic identification and contact data required for registration, typically:

  • name and surname of the participant
  • date of birth
  • address
  • school
  • contact of his legal representative or teacher (e-mail and telephone) and other information, in particular
  • information related to his participation in the competition

Furthermore, personal data provided by natural and legal persons who have expressed an interest in receiving our news or contacted us via the contact form or e-mail, to the extent of:

  • name and surname
  • organization
  • e-mail
  • phone number

Registration for the competition is provided through the website www.edcb.cz using electronic forms.
The source of the processed personal data of the participants is directly these participants (this is the data provided by them), or the persons who apply them to the given competition, and their legal representatives or teachers, and some data is also obtained as part of communication with the participants (e-mails). The source of obtaining data from those interested in further information is the data filled in via the contact form also on the website www.edcb.cz or provided via e-mail sent to info@edcb.cz.

For what purposes do we use your personal data?

The primary purpose of processing the participant’s personal data is

  • holding the relevant competition

The data will also be used in this context

  • for the registration and proper fulfillment of administrator’s contractual relationships
  • for statistical purposed
  • further development of the administrator’s services related to competitions
  • to protect the rights of the administrator and third parties (e.g. other contractual partners), especially against illegal activity.

In addition, the personal data of the participant will be used by the administrator to fulfill legal obligations, in particular according to the regulations governing accounting and taxation, the awarding of public contracts and regulations regarding the protection of personal data.
Data obtained as part of reporting from accompanying events of competitions (especially from the announcement of results), incl. data about the winners (which are also considered to be persons who place in the ranked places in the competition) will be used to a reasonable extent for informing about the given competition or survey or for promoting other years, especially on the websites of the administrator or collaborating institutions and in media coverage.

We also use personal data to send e-mails with information about the competition and other news from the dance industry. Consent can be revoked at any time via e-mail: info@edcb.cz.

We also process the Personal Data provided when registering for the competition. These are mainly contact data (name, surname, address, email, telephone number), accounting and payment data (IČO, VAT number, registered office address, payment card number, account number). These data are necessary for the purpose of providing the ordered services and keeping accounts.

Why we process the data

The legal basis for the processing of participants’ personal data is primarily their

  • consent to participate in the competition
  • in the case of winners, the administrator’s legitimate interest in completing the competition and announcing its results
  • for others, their expressed interest in information about the competition

If the legal reason for the processing of personal data is your consent, you can revoke such consent at any time free of charge by contacting the above contacts.

  • legitimate interests of the administrator (given in particular by the interest in protecting his rights against illegal activity, including IT security, processing for statistical purposes, further development of the administrator’s competitions, publication of data as part of reporting on the competition or survey and promotion)
  • fulfillment of legal requirements (in particular, prevention of criminal activity, fulfillment of requirements according to regulations on personal data protection (in particular, Act No. 110/2019 Coll. and Regulations, accounting for the accounting of transferred winnings and the related fulfillment of obligations according to tax regulations, etc.)

How long do we need the data for?

Overview of competition participants: no more than 5 years (from the date of the competition)
Information on winners: no time limit (for the purposes of the competition archive and organization of further years)
Data of other persons: no more than 5 years (from the date of the competition)

When something changes for you

If the data provided by the participant changes, please update the information using the contacts listed below, preferably by e-mail info@edcb.cz.

How processing takes place

Usually electronically, in the relevant information system, the processing of documents in filing cabinets, such as a system for storing paper contracts, is not excluded.
Provision of processed data by the participant is voluntary.
Without providing certain data, participation in the competition will not be possible, in some cases they are required by law, especially accounting regulations.

Who else gets access to the data

If a jury participates in the selection of the winner, the data about the participants will also be made available to the members of the jury. News from the competition can be published to the usual extent in the media and on the website of the administrator or cooperating institutions, so it will be accessible to everyone without restrictions.
